UW Medicine includes Harborview Medical Center, UW Medical Center – Montlake, UW Medical Center - Northwest, Valley Medical Center, UW Neighborhood Clinics, UW Physicians, UW School of Medicine and Airlift Northwest. Of the $718.5 million in gifts and private grants raised in FY21 by the University of Washington, UW Medicine raised $377 million (52 percent of the University’s total) in gifts and private grants from over 18,000 donors. The University of Washington recently completed a multi-billion-dollar campaign, during which UW Medicine raised over $2.5 billion.

Role Responsibilities: 

The Associate Director for Annual Philanthropy (Associate Director) works with the Senior Director for Pipeline Engagement and the Director for Annual Philanthropy (Director) to develop the overall annual philanthropy strategy and is responsible for the day-to-day implementation and evaluation of a large, complex and targeted digital, direct mail, and student calling program. Annual philanthropy is defined as gifts up to $25,000 and the current program raises over $10 million from over 18,000 donors.

The Associate Director utilizes prospect management and research tools to discover major and planned gift donors and manages assignments to front-line fundraisers. The Associate Director also works within the Bridge database for grateful patient prospecting, mail lists, trend analysis, and moves management.

The Associate Director serves as a development officer for major and planned gifts through the cultivation, solicitation, and stewardship of leadership annual philanthropy donors. This position is also responsible for staffing departments and divisions that primarily have annual and mid-level giving capacity amongst its constituents.

The Associate Director collaborates with colleagues to manage various giving campaigns, including Husky Giving Day, Giving Tuesday, National Philanthropy Day and employee giving efforts.


RESPONSIBILITIES

Digital Media and Direct Mail Responsibilities — 60%

  • Works with the Director to develop the overall annual philanthropy strategy for UW Medicine Advancement and builds on traditional programs, including direct mail and student calling.
  • Implements digital strategies including e-solicitations and online giving and engagement through digital media channels such as email (Marketo), peer to peer fundraising (Together UW) and  texting (Cadence).
  • Provides day-to-day leadership and oversight for the implementation of the annual philanthropy program. In this capacity, manages, implements, and evaluates annual philanthropy direct mail, student calling and digital media giving programs. In these activities, routinely has contact with donors, alumni, faculty, and senior-level administrative staff.
  • Oversees and manages a complex, targeted direct mail program for donor acquisition and donor renewal to support UW Medicine and all of its individual entities. In this capacity, identifies and focuses on effective solicitations in special segments to acquire, renew and retain donors in support of UW Medicine priorities. Audiences include donors, high-level volunteers, alumni, trainees, students, patients, and the community –at large.
  • Collaborates with colleagues to manage giving campaigns, including Husky Giving Day, Giving Tuesday, National Philanthropy and employee giving efforts.
  • Manages UW Medicine tribute pages including intake of requests, page design through Together UW, and outreach to page requestors.
  • Creates design concepts for direct mail and electronic solicitations in collaboration with the Communications and Engagement team.
  • Assists in the development of annual philanthropy messaging and collateral in partnership with the Engagement and Communications team.
  • Drafts student calling talking points and training materials. Collaborates with Central Annual Philanthropy and Analytics on quarterly direct mail and stays up to date on University of Washington Annual Philanthropy best practices.
  • Manages printing and direct mail vendor partnerships. Negotiates with campus and external vendors to fulfill direct mail projects.
  • Works with internal and external sources for data acquisition. Ensures that all data is accurate and in compliance with all federal, state, and University regulations, including the federal privacy regulations (HIPAA).
  • Serves as a liaison to UW Advancement Annual Philanthropy and Analytics.
  • Completes other duties as assigned.

 

Front-line Fundraising and Pipeline Responsibilities – 40%

  • Reviews weekly Turner gift notification for new gifts assignments and conducts initial donor outreach for discovery and qualification.
  • Staffs 1-2 departments and divisions that predominantly have annual giving level and mid-level constituents, providing guidance on fundraising initiatives, stewarding donors and staffing department chairs and division heads.
  • Cultivates, solicits, and stewards leadership annual fund gifts while assessing capacity and affinity as a major/planned giving prospect.
  • Collaborates with colleagues to manage various giving campaigns and volunteer coordination.
  • Reviews weekly Turner gift notification for new gifts assignments and conducts initial donor outreach for discovery and qualification.
  • Partners with UW School of Medicine Alumni on reunion solicitations.
Candidate Qualifications: 
  • Bachelor’s degree and three or more years of increasingly responsible experience in advancement or non-profit with a preference for experience managing a complex and targeted annual giving program. An equivalent combination of education and experience may substitute for stated requirements.
  • Strong attention to detail and ability to recognize mistakes or potential overlap in populations regarding direct mail.
  • Ability to learn new software and platforms to ensure the annual giving program remains at the forefront of new strategies and best practices, most importantly, incorporating digital media into traditional annual giving.
  • Work to resolve conflicts and differences through dialog and open communication in a timely manner. Sees every difference as an opportunity for growth and change.
