RA’s mission is to affirm our youth’s sense of purpose and belonging by intentionally connecting their community of teachers, coaches, families, and mentors. We begin the journey with students and their families in fourth or fifth grade and continue through high school graduation and beyond. Each student is fully sponsored year-round to participate in extracurriculars and summer camps, paired with a dedicated one-on-one mentor who meets with them every week, and motivated to achieve on and off the field through RA’s classroom engagement and self-advocacy model. 

 

Role Responsibilities: 

+ Position Summary

With a focus on administration and donor relations, the Development Coordinator (DC) will work closely with the Development Director (DD) and Communications Manager (CM) to support RA’s revenue and resource development goals. Duties will include: ensuring the organization’s data is accurate, assisting with donor communications,  providing logistical support for fundraising events and campaigns, leading administrative projects that streamline the team’s work, and other projects, as assigned. 

+ Responsibilities & Duties

Database, Reporting, & Donor Communications (50%)

  • Ensure a timely and accurate gift entry and acknowledgement process for all gifts, including documentation and follow up of verbal and written pledges, as well as in-kind donations.
  • Send thank you letters in a timely manner.
  • Support efforts to create new materials/messaging for first-time donors; acknowledge special donor anniversaries or other creative milestones.
  • Ensure that information in the Salesforce CRM is accurate and complete; work with CM to ensure email newsletter lists are up to date.
  • Work with Operations Manager to continuously improve database processes and tracking, including updating gift entry policies as needed.
  • Generate regular fundraising reports, including campaign specific reports.
  • Support DD with monthly gift receipt and pledge reconciliation with the bookkeeper.
  • Assist with researching, building, and maintaining donor and prospect lists and files. Collaborate with DD to track moves management steps for donors.
  • Assist with drafting and distributing donor communications including but not limited to: appeals, stewardship pieces, monthly newsletters, social media posts.
  • Support with grant reports and administration of grant proposals, as needed.

Events & Campaigns (20%)

  • Support planning and implementation of organization’s special events, including record keeping and logistics.
  • Track auction item information, sponsorships, and all event donations in Salesforce CRM and event management system.
  • Maintain an accurate guest list and ensure accurate information across Salesforce and the event management system.
  • Assist with drafting and distributing event communications.
  • Prepare solicitation lists for year-end campaigns and coordinate data needs for email and direct mail efforts.

Administrative Support & Cross Team Collaboration (20%)

  • Respond to external inquiries from hello@rainierathletes.org email address
  • Provide scheduling and communication support to Leadership Team, as requested
  • Take notes during DevComm weekly meetings.
  • Support with preparation for monthly board meetings and bi-monthly Development Committee meetings
  • Partner with DD, CM, and Community Team Manager to support mentor recruitment, mentor appreciation, and mentor training events, as requested. 
  • Support DevComm team, as requested.

Candidate Qualifications: 

+ Preferred Experience and Qualifications

  • High School Diploma or equivalent required. Bachelor's degree preferred
  • Administrative experience required. Two years experience in non-profit fundraising preferred
  • Proficiency with Microsoft Office or Google Workspace (slides, docs, spreadsheets, email, and calendar) required
  • Proficiency in Salesforce preferred
  • Excellent communication skills in both written and verbal formats
  • Strong attention to detail, highly organized 
  • Demonstrated “self-starter,” ability to multitask and prioritize competing demands
  • Enjoys working with data and finding efficiencies  
  • Experience working on a small team
  • Ability to maintain confidentiality, also able to bring levity and joy to the work
  • Flexible schedule, availability to assist with the occasional evening/weekend events
  • Team player who is open to feedback and self-improvement
  • Willingness to engage with coworkers and the broader RA community with authenticity and vulnerability
